Who We Want

As our Senior Facilities Coordinator, you will be Arrive’s subject matter expert for Facilities. This role supports onsite Facilities Operations for our headquarters and San Antonio offices, in addition to remote support for all satellite offices. The Senior Facilities Coordinator performs a variety of tasks from setting up desks, to managing office moves, to troubleshooting the alarm system, and you’ll be the go-to person across the company to execute important projects and tasks. This position will provide support and problem solving to help resolve any onsite issues that have been identified by leadership with the goal of maintaining a world-class workspace for our high-performing employees.

What You’ll Do

  • Subject Matter Expert (SME) for all facilities systems. Implements and administers all facilities digital applications and optimizes facilities capabilities. 
  • Develops and maintains strong relationships with key site leaders and vendors by communicating regularly and proactively regarding any changes, questions, issues, and/or outstanding action items.
  • Receives, manages, and processes Facilities tickets and requests; ensures problems are resolved quickly and efficiently. 
  • Conducts routine quality walk through, identifies damages, safety concerns, and quality control for janitorial services.
  • Maintains inventory of facilities supplies, equipment, furniture, and ergonomic equipment; reorders as needed.
  • Ensures all facilities, site or corporate communications and announcements are approved and in compliance with corporate policies. 
  • Responsible for training facilities contractors and ensuring their performance is up to Arrive’s standards.  
  • Respond to & complete maintenance service requests as assigned.
  • Provides KPI reports to the Director of Facilities derived from periodic site and maintenance facilities inspections. 
  • Maintains and develops preventative maintenance schedules for optimal function of building systems, upkeep of landscaping/grounds, care of furniture, finishes and common areas as well as ensuring that recurring facility services provide an occupancy experience consistent with contract provisions and expectations.
  • Coordinates and executes private office and conference room refreshes, new hire desk preparation, standing desk setups, and supports IT equipment relocation. 
  • Implements directed cost controls associated with maintaining the facility, equipment and furnishings to assure operational efficiencies.
  • Identifies and reports on compliance and standards with building codes, environmental, health and safety standards and office cleaning and organization requirements are being maintained, etc.
  • Supports effective health, safety and emergency preparedness programs in collaboration with regional partners and key internal operational groups.
  • Coordinates facilities management service agreements, validates contract requirements and ensures they are in compliance with company procurement and corporate policies.
  • Acts as point of contact with site Property Managers. Maintains all Arrive and vendor COI requirements and implements/enforces all property rules and regulations. 
  • Participates in and supports construction or renovation projects as necessary and in collaboration with the Director of Facilities and assigned Project Management Team. 
  • Administers space planning service and provides recommendations for departmental moves, relocations. 
  • Participates in crisis management and disaster recovery and restoration services for events affecting facilities within the assigned region. Collaborates with Security Manager to develop and implement Emergency Response SOPs and training. 
  • Performs other duties as required.

Qualifications

  • Strong background and experience in facilities management.
  • Thorough understanding of building maintenance, systems, and construction.
  • Must have valid Driver’s License with satisfactory driving record.
  • Must be available to respond to calls 7 days a week 24 hours per day.
  • Working knowledge of word processing and spreadsheet software and ability to create reports and tracking.
  • Ability to work independently with minimal supervision and to ensure work related responsibilities are completed accurately and in a timely manner.
  • Strong verbal, written, analytical and persuasive skills and ability to interact effectively with all levels of employees, customers, management and contractors.
  • Ability to work effectively in a team oriented, fast paced and high demand environment.
  • Ability to maintain a high level of confidentiality while working with highly sensitive information.
  • Ability to maintain a professional and positive manner.
  • Ability to handle a fast paced environment with heavy workloads and deadlines.
  • Ability to adapt to changing priorities and work well under pressure.
  • Strong communication skills with ability to speak effectively and exercise judgment in communications with leadership and employees.

Working Conditions

  • 10-30% Travel required. Depending on location.
  • Occasional critical emergency response after standard work hours
  • Available to work overtime when required
  • May involve frequent bending, moving, lifting, and carrying material weighing up to 50 pounds and standing up to eight hours each day; working in all weather conditions; exposure to high noise levels and requiring wearing hearing protection.
